New England Archives Center offers dozens of University and College
campuses the ability to execute back file conversions of older student
records either at their production facilities in Holyoke, MA or on-site
at the Registrars office.
We work with the
Registrars staff to define scanning and indexing parameters for search
and retrieval of student transcripts. Up to twenty-five search fields
are available for multilevel searching within the retrieval system.
Documents previously
microfilmed can also be scanned and indexed for conversion to CD-ROM.
Should a portion of the records be retained on microfilm a CAR (Computer
Aided Retrieval) index can be added to the database of the scanned records
for overall searching of both media formats in the Central Database.
We provide all the necessary CD mastering and duplicate production have
the masters stored in our temperature and humidity controlled storage
vaults at the our main facility.
All pickup and
delivery of records is performed by our employees using the New England
Archives Center truck fleet. All employees have signed confidentiality
agreements and are trained in the AIIM and ANSI standard operating procedures
for records conversion.
Manufacturing
Community/Quality Assurance and Production Records
New England Archives Center offers the manufacturing community the ability
to do back file conversions of their technical documentation to keep
device records and batch records under control while allowing for new
data to be added on a near real time basis.
We work with the
Quality Assurance staff to define scanning and indexing parameters for
search and retrieval of batch and devise records. Up to 25 search fields
are available for multilevel searching within the PaperVISION retrieval
system.
Documents previously
microfilmed can also be scanned and indexed for conversion to CD-ROM.
The electronic
image system allows for search and retrieval of documents across local
and wide area networks. As of 1999, it also offers web access to the
records with complete security control.
We provide all

can use the CD copies and still have the masters stored in the temperature
and humidity controlled storage vaults at the our main facility.
N&B/Proof of Delivery, Bill of Lading
New England Archives Center installed the PaperFLOW scanning and indexing
system as an in-house operation which provides instant availability
of scanned files across an operational network to all departments.
We offered a scanning
system which captures the document, reads the bar-code with a light
pen and then allows a download of other indexed data for an electronic
match and merge to fill the other index fields automatically. Users
can search data scanned each morning directly off the hard drive on
CD-ROM all in one search. Customers can have the data faxed directly
to them off the PC used for the look up while they are still on the
phone.
Trucking companies using microfilm had as much as a two week gap before
data was available for viewing on film. Also, once the data is scanned
it can be viewed so their is no wait to see if the microfilm is satisfactory.

Battery Manufacturer/Accounts Receivable
We provide this client with the ability to store and retrieve accounts
payable and accounts receivable data across the company's WAN. The system
insures speedy response time within the user departments and rapidly
handles queries from supplier and customer. Improved productivity and
better customer service are the net result.
New England Archives Center installed the CD-ROM based system with a
150 CD changer to allow for storage and retrieval of records from a
massive database of information within seconds. Customers calling regarding
accounts payable issues can have copies of invoices faxed directly to
them from the PC used for the look up.
Access to the accounts payable files provides equal speed for the resolution
of questions regarding purchase of raw materials and services. Effective
communication with vendors yields better overall cooperation and insures
a more productive internal operation.
We
provide all the equipment and software needed for operating the system
along with necessary technical support for network linkage.
The CD-ROM based
system replaced an older microfilm system and yielded faster response
time, broader user access ability, improved hard copy output and faster
conversion cycles.
